Planning for a detailed budget
In the previous blog we gave you the information about the cost components that needed to be determined. Once these have been determined, you can proceed with detailed planning.
How do I divide my budget? Where do I begin? How much does it really cost?
Here, too, it is advisable to create a detailed plan, preferably in the form of a digital spreadsheet, so that you can make changes quickly and calculate totals. It's best to start at one point and work your way to the other end. An example of the order could be from expensive to cheap or from arrival to departure.
If you work your way from expensive to cheap, you will quickly see which costs are the biggest “bunk” for a multi-day event.
Here is a possible order:
1) Fixed costs
2) Hotel - overnight stays with breakfast
3) Event costs
4) Transportation costs
5) Costs for the evening program
6) Any cash costs
7) Giveaways, welcome gifts
Allow a buffer of 5-10% of the total amount, as small changes can still occur.
If you have created a table, you will have a simplified picture of the costs and can calculate your totals. If you are satisfied with the setup, you can move on to the next step of the service providers, which we will describe in our next blog.
